The Legal Administrative Assistant provides high-level support in a Secretarial Service Center (SSC), collaborating with a team of two or three assistants. Responsibilities include managing workflow, maintaining confidential information, coordinating office procedures, and ensuring efficient operations. The role requires strong organizational skills, the ability to multitask in a fast-paced environment, and a commitment to meeting deadlines. Tasks include scheduling client meetings, making travel arrangements, proofreading legal documents, processing client billing, and maintaining lawyers’ time records. The assistant must effectively use iManage, MS Office, 3E, and other legal software for document management, record-keeping, and workflow coordination.
This position involves mentoring team members, answering procedural questions, and fostering a cooperative work environment. Additional duties include monitoring lawyers’ emails, assisting visitors, and handling phone communications. The assistant must maintain an up-to-date record of lawyer preferences, submit timely timesheets, and notify supervisors of availability. Adherence to firm policies, confidentiality standards, and participation in a certification program are required. The role is hybrid, reports to the Director of Administration and Legal Administrative Assistants Supervisor, and has a salary range of $79,000–$110,500. Regular attendance, professionalism, and the ability to adapt to new technologies and procedures are essential.
