Administrative Project Coordinator

The Administrative Project Coordinator will provide high-level, concierge-style assistance to attorneys, handling varied and complex administrative tasks in a fast-paced environment. Responsibilities include managing complex travel arrangements, document management, business development, and coordinating special projects. The role involves troubleshooting software and hardware issues, preparing materials for presentations, managing time records and expense reports, scheduling and calendaring, and handling phone calls and mail.

The coordinator will collaborate with Firm's support departments and internal staff, maintain knowledge of all practice areas, coordinate with other Firm offices, and ensure projects meet professional standards. They will also assist with new-client processes, promote business development, and facilitate meetings and client interactions.

Qualifications include a Bachelor's degree, a minimum of two years of related experience in a law or professional services firm, and proficiency in relevant software (Outlook, Excel, PowerPoint). The role requires strong organizational skills, attention to detail, professionalism, flexibility, and the ability to handle confidential matters. The coordinator must work well under pressure, independently, and within a team, with the ability to adjust hours as needed. A Notary Public license in New York State is required within six months.
