Executive Assistant (NY)

The Executive Assistant will support partners, counsel, associates, and staff attorneys in a New York-based firm with a hybrid work schedule. Key responsibilities include handling administrative tasks such as managing phone calls, mail, files, attorney calendars, and expense reports. The role involves preparing engagement letters, new client/matter memos, and maintaining billing and new business records. The assistant will ensure accurate client billing, support business development, and coordinate complex travel arrangements. They will also prepare check requests, delegate tasks to other departments, ensure proper software and hardware functioning, and perform special projects.

Qualifications include proficiency in relevant software (Word, Outlook, Excel, PowerPoint), strong interpersonal and communication skills, attention to detail, and the ability to handle multiple projects and priorities. The candidate must work well independently and in a team, manage sensitive matters confidentially, and demonstrate professionalism. They need to be flexible with tasks and working hours to meet business needs. A high school diploma or equivalent is required, with a Bachelor's degree preferred, and at least three years of office experience.
