Senior Legal Executive Assistant

Based in Dallas, the Senior Legal Executive Assistant will support the senior transactional partner and practice group leader who, in addition to their practice, holds leadership positions within the firm requiring additional support.  While this is a one-on-one support relationship, this position will work closely with the team-based support structure within our Legal Administrative Services Department.

The firm’s Senior Legal Executive Assistants are responsible for working with their assigned partner to provide the highest level of administrative support and practice coordination.  The role of the Senior Legal Executive Assistant is more strategic than transactional – meaning that they have demonstrated experience in anticipating needs, seeing around corners, and ultimately adding commercial value to your assigned partner’s practice.  The Senior Legal Executive Assistant will report to the local Legal Administrative Services Manager and Director of Administration, taking daily direction from their assigned partner.

Responsibilities include:
  • Provide one-on-one executive support to your assigned partner. Ability to work with other firm Executive Assistants and Legal Administrative Assistants as needed on projects and for back-up support.
  • Demonstrated ability to move beyond the transactional (calendar management, expenses, travel) to focus on the strategic. For example, actively managing a partner’s email inbox, strategic business travel planning including recommending meetings with clients/contacts for the trip and collaborating with Billing and designated partners on client matter management.
  • Collaborate closely with assigned partner to effectively manage day-to-day coordination of the partner’s respective practices. Liaise regularly with other firm departments such as Marketing, Finance, and Conflicts to ensure the smooth operation of the partner’s business.
  • 24/7 mindset.  Flexibility and commitment to work outside of business hours and on weekends required.
  • Manage a broad range of complex administrative duties, such as scheduling meetings, preparing reports and meeting materials, furnishing information, responding to routine correspondence, assisting with technical support, processing expense reports, and answering telephone calls.
  • Manage client onboarding, billing, and relationship management activities. Requires the ability to communicate directly with clients in-person, via telephone and by email.  Assist with client entertainment and development activities as needed.
  • Organize complex domestic/international travel arrangements, with detailed itineraries both personal and professional.  Coordinate flights, hotel accommodations, car service, visas, dining reservations, etc.

Qualifications
  • Work requires continual attention to detail in composing, typing, and proofing materials, establishing priorities and meeting deadlines.
  • Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
  • Exceptional verbal and written communication and people skills, with the ability to collaborate effectively with diverse stakeholders and clients.
  • Collaboration and facilitation skills to work with various departments and facilitate their ability to work with each other.
  • Ability to work independently and with a team, and to delegate and manage resources effectively.
  • Exhibit high degree of initiative and critical-thinking skills in exercising independent judgment and making decisions in managing multiple priorities in a fast-paced, deadline-driven, detail-oriented work environment.
  • High level of adaptability and flexibility. 24/7 mindset.
  • High level of integrity and discretion in handling confidential information
  • Self-starter with demonstrated instances of taking initiative.
  • Creative thinker who is resourceful and anticipatory of the needs of their assignments.
  • Ability to work overtime as needed.

Experience
  • College degree required.
  • 5+ years of experience as an executive assistant in professional services or technology company environment required, law firm or legal services experience preferred.
  • Highly skilled in Microsoft Office Suite and ability to quickly learn and utilize industry specific computer applications.

Compensation & Benefits:
The annual compensation range for this position is $125-140k. The salary offered within this range will depend upon qualifications and other operational considerations.
