Our client’s Los Angeles office has an opening for a Client Service Specialist (Legal Secretary) with Litigation experience to support attorneys in their Employment Department.

The Client Service Specialist provides administrative client services to both internal and external clients.

In this capacity, the Client Service Specialist will:
  • Maintain a consistent physical presence required to facilitate an interactive and collaborative environment ensuring that assignments, cross-training, and peer level support are optimized to provide seamless support;
  • Execute legal practice tasks and projects;
  • Execute administrative functions and facilitate completion of tasks including finance/billing-related tasks, time and expense entry, opening of new matters, client presentations, meetings and other administrative projects as assigned;
  • Maintain calendar and scheduling, coordinate pending matters and tracking deadlines utilizing expert-level follow-through, diplomacy, and drive for perfection;
  • Coordinate and delegate to Firm resources as needed, including Document Processing, Office Services, Client Service Center, Practice Innovation, and other similar departments in international offices;
  • Function as a member of a close-knit Client Service Specialist team supporting the Employment Law practice group as well as assigned partner(s);
  • Prepare complex legal documents and correspondence; oversee and coordinate state and federal court filings, including e-filings; apply subject matter expertise in coordination of legal practice tasks and projects;
  • Understand and support client billing processes including: ensuring adherence to time entry protocols and best practices; proofreading, editing, and reviewing client bills; applying proper task codes and matter management to support rates, rate changes, write-offs, preparation of expense reporting, and audits as required;
  • Deploy intermediate to advanced Excel skills in support of legal practice projects and administrative tasks;
  • Create, edit, and format tables of contents and tables of authorities in pleadings as needed;
  • Manage the legal and administrative practices of attorneys and facilitate service levels that meet client requirements; and
  • Work overtime as required.

Proficiencies:
  • Advanced ability to organize, prioritize, coordinate, delegate and work as part of a team;
  • Must be detail-oriented;
  • Ability to work successfully in a fast-paced environment, both independently and as part of a team;
  • Advanced to Expert proficiency in rules of English grammar, spelling and punctuation;
  • Advanced proficiency in MS Word and document editing/comparison applications;
  • Advanced proficiency in MS Outlook and web-based conference call/web-sharing applications;
  • Advanced proficiency in MS Excel and spreadsheet/database applications;
  • Advanced proficiency in MS PowerPoint and presentation applications;
  • Advanced knowledge of timekeeping, expense processing, and legal billing practices;
  • Advanced knowledge of relevant jurisdictional/court/agency processes and procedures,
  • Advanced proficiency in document management applications; and
  • Proven ability to effectively coordinate with other firm-wide departments with the necessary communication skills to transfer instructions/data, verify results, resolution of conflict and delivery of results. Excellent written and oral communication skills required with strong ability to meet deadlines and provide results while supporting Firm policy and procedures.

Qualifications:
  • Associate’s degree or Bachelor’s degree (preferred); and
  • Minimum 5 years of Litigation experience (preferred).

The salary wage range that the firm expects to pay for this position is a minimum of $76,100 and a maximum of $107,350 annually. The actual pay wage may vary based on experience or other relevant factors.
